Job Description

The Executive / Sr. Executive – Sales Admin & Travel Coordinator will be responsible for handling sales support activities, travel management, documentation, reporting, and coordination with internal teams and external vendors. The involves managing travel bookings, maintaining sales records, preparing reports, supporting field teams, and ensuring efficient administrative operations. The candidate should possess excellent coordination, communication, and multitasking skills.


Roles & Responsibilities:

  • Provide administrative support to sales and business development teams.
  • Coordinate domestic and international travel arrangements including flight, hotel, visa, and transport bookings.
  • Manage travel schedules, itineraries, and travel-related documentation for employees and management.
  • Handle travel expense records, reimbursements, and travel MIS reporting.
  • Maintain accurate sales records, databases, and customer-related documentation.
  • Prepare sales reports, presentations, and management MIS documentation.
  • Coordinate with vendors, travel agencies, and service providers for travel and administrative requirements.
  • Assist in organizing meetings, conferences, exhibitions, and business events.
  • Support sales teams with quotation preparation, order coordination, and documentation activities.
  • Ensure timely communication and coordination between internal departments and field teams.
  • Maintain proper filing and documentation of contracts, invoices, and administrative records.
  • Handle incoming communication, emails, and scheduling activities professionally.
  • Monitor travel budgets and ensure cost-effective travel planning.
  • Coordinate employee accommodation and travel logistics during official visits and events.
  • Support onboarding and travel arrangements for new employees when required.
  • Ensure adherence to company travel policies and administrative procedures.
  • Assist management with calendar management and operational coordination activities.
  • Resolve travel-related issues and provide timely support to employees.
  • Maintain confidentiality of organizational and employee information.
  • Contribute to process improvement initiatives for administrative and travel operations.
  • Stay updated with travel regulations, booking systems, and administrative best practices.
