Job Description

The Reception Executive will be responsible for handling calls, managing appointments, greeting visitors, and supporting administrative functions. This requires excellent communication skills, organization, and the ability to multitask in a fast-paced environment.


Roles and Responsibilities:

  • Greet and welcome visitors, clients, and employees in a courteous and professional manner.
  • Manage incoming calls,ect them to the appropriate departments, and take messages when required.
  • Maintain visitor logs and ensure proper check-in and security procedures.
  • Schedule and manage appointments, meetings, and conference room bookings.
  • Inform employees about visitor arrivals and coordinate accordingly.
  • Handle incoming and outgoing mail, couriers, and emails.
  • Maintain and organize records, files, and documents (both physical and digital).
  • Ensure the reception area is clean, organized, and presentable at all times.
  • Provide basic information about the company to visitors and callers.
  • Coordinate with internal teams for smooth office operations.
  • Assist in administrative and clerical tasks as required.
  • Manage office supplies at the front desk and raise requisitions when needed.
  • Support HR and admin teams in coordination and documentation activities.
  • Handle multiple tasks efficiently while maintaining accuracy.
  • Maintain confidentiality of visitor information and company data.
  • Ensure adherence to company policies and professional standards.
  • Assist in organizing meetings, events, and conferences.
  • Respond to email inquiries and ensure timely communication.
  • Handle unexpected situations at the front desk professionally.
  • Demonstrate strong interpersonal and communication skills.
  • Maintain punctuality, discipline, and a customer-centric approach.
  • Contribute to creating a positive first impression of the organization.
  • Support overall office administration for smooth daily operations.
