Front Office Executive

The Front Office Executive will be responsible for handling patient interactions, managing appointments, coordinating with departments, and ensuring smooth front office functioning. This requires strong communication skills, multitasking ability, and a service-oriented mindset.

Roles and Responsibilities:

• Greet and welcome patients, visitors, and clients in a courteous and professional manner.
• Handle inquiries and provide accurate information regarding services, procedures, and departments.
• Register patients and maintain accurate records in the system.
• Schedule, confirm, and manage appointments efficiently.
• Manage walk-in patients and ensure proper queue and flow management.
• Answer incoming calls, route calls appropriately, and take messages.
• Coordinate with doctors, nursing staff, and other departments for smooth patient flow.
• Ensure timely communication with patients regarding appointments and updates.
• Maintain front office registers, reports, and documentation.
• Guide patients regarding billing processes andect them to relevant departments.
• Handle patient concerns and escalate issues when required.
• Maintain cleanliness and organization of the reception area.
• Manage incoming and outgoing emails, couriers, and correspondence.
• Ensure confidentiality of patient information and records.
• Assist in maintaining data accuracy in CRM/HIS systems.
• Support administrative and coordination tasks as required.
• Monitor patient waiting time and ensure efficient service delivery.
• Follow organizational policies, SOPs, and service standards.
• Maintain professional grooming and behavior at all times.
• Work efficiently in shifts and manage workload during peak hours.
