Job Description

Front Office & Patient Relations Executive is responsible for managing front desk operations, handling patient interactions, and ensuring a smooth and positive patient experience within the hospital/organization. The involves patient registration, appointment coordination, addressing patient queries, managing communication between departments, and maintaining professional front office operations. The candidate will play a key in enhancing patient satisfaction, maintaining efficient workflow, and ensuring excellent customer service standards.


Roles & Responsibilities:

  • Welcome and assist patients, visitors, and guests in a professional and courteous manner.
  • Handle patient registration, appointment scheduling, and appointment confirmations efficiently.
  • Manage front desk operations and ensure smooth patient flow within the facility.
  • Respond to patient inquiries regarding services, departments, doctors, and appointments.
  • Coordinate with doctors, nursing staff, billing, and other departments for patient requirements.
  • Assist patients with admission, discharge, and departmental guidance when required.
  • Handle incoming calls, emails, and patient communications professionally.
  • Address patient concerns, complaints, and feedback promptly and escalate issues when necessary.
  • Maintain accurate patient records, appointment logs, and front office documentation.
  • Ensure proper management of visitor entries and front office administrative activities.
  • Support billing and payment coordination by guiding patients to relevant departments.
  • Maintain confidentiality of patient information and hospital records.
  • Ensure cleanliness, organization, and professional appearance of the reception and waiting areas.
  • Coordinate patient relation activities aimed at improving patient satisfaction and service quality.
  • Provide information regarding hospital services, facilities, and healthcare programs.
  • Support emergency patient coordination and priority handling when required.
  • Prepare daily reports related to patient appointments, inquiries, and front office activities.
  • Ensure compliance with hospital policies, customer service standards, and operational protocols.
  • Maintain professionalism, positive attitude, and patient-friendly communication at all times.
  • Perform additional front office and patient relation responsibilities assigned by management or supervisors.
