Job Description

Receptionist is responsible for managing the front desk operations and serving as the first point of contact for patients, visitors, and callers. The involves handling patient registrations, appointment scheduling, responding to inquiries, managing incoming calls, and ensuring smooth coordination between patients and hospital departments. The candidate will play a key in maintaining a professional and welcoming environment while ensuring efficient front office operations.


Roles & Responsibilities:

  • Greet and welcome patients, visitors, and guests in a professional manner.
  • Handle patient registration, appointment scheduling, and appointment confirmations.
  • Manage incoming and outgoing phone calls efficiently and route them to the appropriate departments.
  • Provide accurate information regarding hospital services, doctors, and timings.
  • Assist patients with queries, guidance, and basic support at the front desk.
  • Maintain patient records, registration details, and appointment logs accurately.
  • Coordinate with medical and administrative departments for patient flow management.
  • Ensure smooth check-in and check-out process for patients.
  • Handle billing-related queries andect patients to the billing department when required.
  • Maintain cleanliness and organization of the reception area.
  • Manage visitor entry and maintain visitor logs as per hospital protocol.
  • Ensure proper handling of appointments, cancellations, and rescheduling requests.
  • Support emergency patient coordination by guiding them to appropriate departments quickly.
  • Maintain confidentiality of patient information and hospital records.
  • Operate hospital communication systems, EPABX, or front desk software effectively.
  • Assist in coordination of OPD schedules and doctor availability updates.
  • Ensure professional behavior, courtesy, and customer service standards at all times.
  • Handle complaints and escalate issues to concerned departments when necessary.
  • Support administrative tasks assigned by hospital management or supervisors.
