Job Description

The Customer Care Executive will act as the first point of contact for patients and customers, providing accurate information, handling service requests, and ensuring smooth communication across departments. This requires excellent interpersonal skills, problem-solving abilities, and a patient-centric approach. The candidate must be capable of managing multiple tasks efficiently while maintaining professionalism and empathy in a fast-paced healthcare environment.


Roles and Responsibilities:

  • Handle incoming calls, emails, and walk-in inquiries professionally and efficiently.
  • Provide accurate information regarding hospital/pharma services, appointments, and procedures.
  • Assist patients and customers with registration, scheduling, and service-related queries.
  • Resolve complaints and concerns promptly while ensuring customer satisfaction.
  • Coordinate with departments such as billing, diagnostics, pharmacy, and clinical teams for smooth service delivery.
  • Maintain proper communication with patients and attendants regarding appointments and follow-ups.
  • Guide patients through hospital processes and support them during their visit.
  • Ensure timely escalation of unresolved issues to the concerned department.
  • Maintain records of customer interactions, complaints, and resolutions.
  • Follow up with patients/customers to ensure satisfactory resolution of concerns.
  • Support front desk and reception activities when required.
  • Ensure high standards of hospitality, professionalism, and service etiquette.
  • Maintain confidentiality of patient and customer information.
  • Assist in feedback collection and customer satisfaction surveys.
  • Coordinate with marketing and operations teams for campaigns and patient engagement activities.
  • Handle appointment reminders, confirmations, and rescheduling efficiently.
  • Maintain updated knowledge of hospital services, packages, and policies.
  • Support emergency handling and crowd management when required.
  • Ensure compliance with organizational policies and service quality standards.
  • Work in rotational shifts including weekends and holidays if required.
  • Maintain discipline, punctuality, and grooming standards.
  • Participate in customer service training and quality improvement initiatives.
  • Assist in maintaining a welcoming and organized reception environment.
  • Prepare reports and MIS related to customer service activities.
  • Coordinate with insurance and billing teams for patient assistance when needed.
  • Handle difficult situations calmly and professionally.
  • Promote a positive image of the organization through excellent communication.
  • Identify opportunities to improve service quality and patient experience.
  • Demonstrate teamwork, accountability, and commitment to service excellence.
  • Contribute to enhancing overall patient/customer satisfaction and organizational reputation.
