Reception Coordinator

The Reception Coordinator will be responsible for coordinating front-desk operations, patient registration, appointment scheduling, inquiry handling, and reception team workflow. This requires strong communication skills, computer knowledge, team coordination ability, and a patient-friendly approach. The candidate will ensure smooth patient flow, accurate data entry, timely coordination with doctors and departments, and a professional first-contact experience for patients and visitors.

Roles & Responsibilities

• Coordinate daily reception operations including patient registration, appointments, and inquiry handling.
• Welcome patients, attendants, visitors, and guests in a polite and professional manner.
• Manage phone calls, walk-in inquiries, appointment schedules, and front-desk communication.
• Maintain accurate patient details, registration entries, appointment records, and visitor information.
• Coordinate with doctors, nursing, billing, diagnostics, pharmacy, and support departments for patient services.
• Guide patients regarding consultation process, department location, waiting time, and required documents.
• Monitor OPD flow and ensure patients are directed to the right doctor or service area.
• Support reception staff in handling queries, service requests, and patient concerns.
• Maintain organized reception area, proper queue discipline, and patient-friendly communication.
• Support payment guidance, report collection, admission coordination, and follow-up appointment scheduling.
• Prepare daily reception reports, appointment lists, inquiry summaries, and coordination updates.
• Ensure confidentiality of patient information and hospital records.
• Escalate unresolved patient concerns or operational issues to senior management.
• Follow hospital communication standards, service protocols, and patient-care guidelines.
• Contribute to a smooth, respectful, and efficient front-office experience.
