Admission Executive

The Admission Executive is responsible for handling end-to-end patient admission processes, ensuring accurate documentation, and coordinating with various hospital departments for seamless patient flow. The requires strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced healthcare environment.

Roles and Responsibilities:

• Manage the complete patient admission lifecycle including registration, documentation, and bed allocation.
• Welcome patients and attendants warmly, ensuring a positive first impression of the hospital.
• Collect, verify, and accurately enter patient demographic and medical information into the system.
• Handle advance deposits, billing coordination, and financial counseling where required.
• Coordinate with nursing staff and ward coordinators for real-time bed availability and allocation.
• Facilitate smooth admission for emergency, elective, and referral cases as per protocols.
• Ensure all required consent forms and admission documents are properly completed and signed.
• Guide patients and families regarding hospital policies, procedures, and service offerings.
• Liaise with insurance providers and TPAs for pre-authorization and cashless admission processes.
• Follow up on pending documents, approvals, and patient information to avoid delays.
• Maintain accurate and confidential patient records in compliance with regulatory standards.
• Handle interdepartmental coordination to streamline patient movement within the hospital.
• Assist in discharge planning coordination when required to ensure continuity of care.
• Address patient concerns, complaints, and queries promptly with a service-oriented approach.
• Monitor admission turnaround time and work towards improving efficiency.
• Prepare daily, weekly, and monthly reports related to admissions and occupancy status.
• Ensure adherence to hospital policies, quality standards, and legal compliance.
• Support audit processes by maintaining proper documentation and records.
• Assist in training new staff or interns on admission procedures and systems.
• Manage high patient volumes efficiently during peak hours while maintaining service quality.
• Coordinate with housekeeping and support services to ensure readiness of patient rooms.
• Escalate critical issues or delays to senior management in a timely manner.
• Maintain professionalism, empathy, and confidentiality in all patient interactions.
