Front Office Executive

The involves handling registrations, appointments, billing coordination, and providing seamless support to patients and visitors.

Roles & Responsibilities

• Greet and assist patients, visitors, and attendants in a professional and friendly manner.
• Handle patient registration, appointment scheduling, and check-in/check-out processes.
• Manage front desk operations efficiently to ensure smooth patient flow.
• Provide accurate information regarding hospital services, doctors, and departments.
• Coordinate with various departments for patient appointments and services.
• Maintain and update patient records in the Hospital Information System (HIS).
• Handle incoming calls, emails, and inquiries promptly and professionally.
• Guide patients through billing, insurance, and admission procedures.
• Assist in OPD/IPD coordination and support admission processes.
• Address patient queries, concerns, and complaints with empathy and professionalism.
• Ensure proper queue management and minimize patient waiting time.
• Coordinate with billing and TPA teams for patient-related documentation.
• Maintain confidentiality of patient information and records.
• Manage cash handling, receipts, and basic billing coordination if required.
• Ensure cleanliness and organization of the front office area.
• Maintain visitor logs and security protocols at the reception area.
• Support service recovery initiatives to enhance patient satisfaction.
• Prepare daily reports and MIS related to front office activities.
• Ensure adherence to hospital policies, procedures, and quality standards.
• Participate in training programs and continuously improve customer service skills.
